System documentation

How the books in Inzenda are organised: how a business event becomes a voucher (verifikation), how the vouchers are numbered, how a correction is made and how the books are kept. The Swedish Bookkeeping Act (1999:1078), chapter 5, section 11, asks for this description (systemdokumentation) and for a description of how each entry was processed (behandlingshistorik).
1. From transaction to voucher
Every transaction you record (by hand, from a bank file or an SIE file, or as a year total) becomes a voucher in series A at the same moment. A payroll run is booked when the pay is paid: when the payment date has arrived, when the net pay has been matched to the bank, or when you have marked it paid. Filing the employer declaration books nothing. Its lines are booked on BAS accounts that the category decides; you never pick an account yourself. The lines come from the same rules as the annual report and the tax return, so the books and what is filed cannot differ.
- The voucher shows when it was recorded and by whom, when the event happened, what it concerns, the amount, the counterparty and a voucher number (chapter 5, section 7).
- The receipt or invoice you attach is the voucher's supporting document.
- A bank statement imported from the bank (as a file or as a PDF) is the supporting document for the bank rows created from it. The company keeps the statement itself; for a PDF statement Inzenda keeps only its checksum (sha256) and period, and each row refers to that import in its history.
- A transaction can also be entered or changed by an AI assistant a user has connected to the company. It is booked the same way, and the history shows that it was done through the assistant and for which user.
2. Numbering
Each fiscal year has three series: IB for opening balances, A for the year's vouchers (A1, A2, A3 and so on) and B for the year-end closing. Within each series vouchers are numbered in the order they are recorded and without gaps. A number is never used twice.
3. Corrections and deletions
Nothing that has been booked is overwritten or erased (chapter 5, section 5). Editing a transaction creates a correction voucher that reverses the old lines and books the new ones. Deleting a transaction creates a reversal (makulering) of all its lines. The database itself refuses to change or delete vouchers and history.
- Every transaction has a history: every version, who made the change and when, and what changed.
- Corrections of earlier years (for example a cost missing from last year's accounts) are kept with who and when, and change the year's opening balances through a new voucher in series IB.
- An attachment added to the wrong transaction can be removed with "Wrong attachment, remove". The file is deleted, and the history shows who removed it, when, the file's name and why. It is the only attachment deleted before the retention period ends.
- What an assistant does in one call is kept as a batch. A user can undo a whole batch: categories and drafts are restored, and anything already booked is corrected with correction vouchers. The undo shows in the history.
- Before anything is sent to an authority for a period in which an assistant made changes nobody has reviewed, a user confirms that they have been reviewed. Who confirmed it and when is kept.
- An assistant can prepare reversing a transaction or a payroll run; it is reversed only when a user confirms on inzenda.se, and the history shows that user.
4. Opening balances and year-end
The year's opening balances are last year's closing balances per account, when last year was filed in Inzenda. For the first year in Inzenda they come from last year's annual report, your answers about the year that went by and the corrections of earlier years. They are booked as a voucher in series IB. The year-end entries (depreciation from the asset register, accruals, the tax allocation reserve, the VAT settlement, employer contributions, special payroll tax, income tax and the year's result) are booked as vouchers in series B, one per kind, when the year's books are exported after the year end and when the annual report is filed. While the year is open they are corrected with correction vouchers. Once the annual report is filed the year is locked, and it reopens only if Bolagsverket returns the report.
5. Printouts and export
Under Transactions, Export books, each fiscal year has:
- General journal, grundbok (PDF): the vouchers in the order they were recorded, with every line (chapter 5, section 1).
- General ledger, huvudbok (PDF): per account the opening balance, the year's vouchers and the closing balance (chapter 5, section 1).
- An SIE 4 file per SIE file format version 4C, with the chart of accounts, opening and closing balances, results and every voucher. Other accounting programs and auditors can read it.
- All the books as JSON and CSV: vouchers, transactions and history.
6. Retention
The accounting records (vouchers, history, transactions, receipts, payroll runs, annual reports, tax returns and earlier versions of this system documentation) are kept as long as the company is in Inzenda and, when you close the company, until 31 December of the seventh year after the end of the calendar year in which the last fiscal year ended (chapter 7, section 2). The database is in Frankfurt (Neon Postgres) and receipts and other files in Stockholm, both in the EU. As long as the company is in Inzenda, the accounting records can be produced electronically in Sweden without delay (chapter 7, section 3 a). Once the company has been closed, the copy the company downloaded is its archive, and Inzenda provides its own copy on request under section 12 of the terms of service. Once the retention period has ended, the books are deleted automatically.
7. Responsibility
The company is required to keep books and keeps them with Inzenda as its tool. The company is responsible for every business event being recorded and for its documents being correct.
8. Changes to the bookkeeping
From 4 October 2026 the year-end entries are booked as vouchers in series B. An earlier year that has not been filed receives its series B when its books are exported or its annual report is filed. A year filed before 4 October 2026 has its year-end entries in the filed annual report and not as vouchers in series B. From 5 October 2026 a payroll run is booked when the pay is paid, not when the employer declaration is filed. From 14 October 2026, section 1 states that an imported bank statement is the supporting document for the bank rows, and that for a PDF statement Inzenda keeps only its checksum and period. This version describes the books from those dates; the earlier versions are under Earlier versions.
From October 19, 2026, transactions can be entered and changed by an AI assistant a user has connected to the company (sections 1 and 3).
Earlier versions
Every version of the system documentation is kept, so the one in force for a given fiscal year can be read:
